Background
Hawaiki Tower is a 427 unit, 47 story high-rise in Honolulu. Paul McCurdy has been the Resident Manager for 24 years and has been in the community association management business for 34 years. The Association of Apartment Owners (AOAO) oversees and maintains all common areas, amenities, mechanical systems, and facilities; and has approximately 30 employees (maintenance, security, administrative staff).
Challenges
Dated and patchwork software
Used Windows 98, the XP for front-end database and maintenance modules in the past but with new, modern activities like guard patrols, communications and package tracking; Hawaiki Tower needed modern, proper property management software. Computer server was over 20 years old and going to die.
Reliance on multiple software and programs
Kept buying separate software packages to address condominium needs as they grew. Costly and disconnected services.
Manual maintenance requests
Maintenance requests were captured manually by the property management office and then sent to maintenance by email without a defined way to track it and update the status
Amenity bookings
Residents had to call the office and staff made sure to put the reservation on a shared outlook calendar. It took up a lot of time and effort.
Expense of multiple, separate systems
Had to use different systems for various operations like patrol routes and package tracking and paid for different software and hardware and multiple vendors.

Self-serve Amenity Bookings
Takes a lot of pressure off staff. Now we don’t have to get involved. It’s a huge time saver. Residents see what is available online and book it themselves. Tennis and pickle ball courts are very popular! It’s straightforward for residents and they like having the ability to book amenities on their own.
Mobile App
Residents like the modern use of an app to make our operations more contemporary.
Communication
Residents enjoy getting the mass emails to keep them informed. The communication module is great for essential communications and very easy to send via text and emails all at once.
Security Patrol
Condo Control delivered a single system so we don’t have to work with multiple systems and multiple vendors. It’s all integrated, so everything runs smoother and is streamlined. We can see all eight patrol routes very easily on a single platform. We were able to add additional monitoring points which gave a clearer path of the patrol route. We’ve eliminated additional expenses having to use other software and hardware.
Package Tracking
We eliminated standalone software for package tracking with Condo Control’s integrated platform. In the age of Amazon and other online ordering services, we needed an effective package tracking system in a high-rise or we’d be drowning in packages.
Maintenance Module
Robust maintenance module. All the data gets put into one form, including the service provider contact information (where applicable) and we have email notification set up so the request goes to the right people who immediately need to see it or to prepare announcements. It gives our maintenance department a heads-up about repairs needed around the building.
Online Voting
Voting and proxies are a great part of the online communication package. We can just attach a proxy and other information and then use docu-sign option—Boom! They send it back, fast, direct, super slick.
Conclusion
None of the competitors or even the software we had been using were as complete as Condo Control in having all the components Hawaiki Towers needed. We were able to eliminate half a dozen standalone products that Condo Control has integrated into one package, and simplified our resident and inter-departmental communications so we can coordinate maintenance activities, roles and communications; and the day-to-day work gets done. We’ve experienced cost and time savings with Condo Control’s integrated package tracking, patrol logs, communication, service requests and maintenance, along with database management; and the transition was more seamless than anticipated
